Job Description

Focal point of contact for the Client Representative/Engineer of the Project.
- Act as liaison between the Project Management, Contractors/Consultants and Client Representative whilst maintaining high regard of confidentiality.
- Assists the Client Representative with the daily administrative routine, documents for approval/signature, prepares reports/ presentations as required, travel arrangements of consultants/contractors/suppliers/artists, personal ad hoc, etc.
- Creates, edits and proofreads correspondences, reports, tender clarifications, Request for Quotations, Work Orders, PP presentations, business trips, leave calendar, etc.
- Prepares and reconciles payment log report of the project.
- Screen phone calls, queries, visitors, meeting requests, payment requests for The Client Representative.
- Responsible for issuing and circulating all incoming and outgoing correspondences and monitoring responses to those correspondences.
- Assists the commercial/technical team during tender process, from pre-qualification stage to the final bid submission, award of contract and engagement close out (i.e. Issuing PQ and tender invitations, replies to queries and clarifications, prepares bid/tender status, signing of LOA’s, schedule meetings/presentations, etc.)
- Maintains updated log reports; outgoing correspondences, cheques issued, payments, etc.
