Role Summary
The Head of Property Management will oversee all aspects of the company's property portfolio, ensuring properties are efficiently leased, well-maintained, profitable, and delivering exceptional experiences to tenants and residents. This role requires strong leadership, commercial acumen, and client relationship management to maximize occupancy, enhance property value, and uphold service quality standards.
Key Responsibilities
Property Leasing & Sales
- Develop and implement leasing and sales strategies to maximize occupancy and revenue.
- Negotiate lease terms, renewals, and sales agreements in line with company objectives.
- Ensure all marketing and promotional activities support property leasing and sales targets.
Tenant & Client Relationship Management
- Serve as the main point of contact for tenants, residents, and corporate clients.
- Resolve tenant concerns and disputes promptly and professionally.
- Build long-term relationships to improve retention and client satisfaction.
Resident Experience & Engagement
- Plan and coordinate community activities/events to enhance resident satisfaction.
- Oversee the delivery of value-added services (e.g., concierge, maintenance assistance, lifestyle programs).
- Regularly gather resident feedback and implement improvements.
Property Operations & Quality Assurance
- Monitor the condition of properties to ensure safety, functionality, and compliance with standards.
- Conduct periodic inspections and coordinate maintenance, repairs, and upgrades.
- Establish and enforce quality assurance benchmarks for all properties.
Contracts & Documentation
- Prepare, review, and manage property-related contracts, lease agreements, and legal forms.
- Ensure compliance with legal, regulatory, and company requirements.
- Maintain accurate records and documentation of all transactions.
Financial & Budget Management
- Prepare annual budgets for the property management function.
- Monitor income and expenditure, ensuring properties meet financial performance targets.
- Provide management with reports on property performance, occupancy, and revenue.
Leadership & Team Development
- Lead and supervise the property management team, including coordinators, and support staff.
- Set performance objectives and provide training, mentoring, and evaluations.
- Foster a culture of customer service, accountability, and continuous improvement.
Compliance & Risk Management
- Ensure properties comply with safety, environmental, and regulatory standards.
- Identify potential risks and implement mitigation strategies.
- Stay updated on property laws, tenancy regulations, and market trends.
Qualifications & Skills
- Bachelor's degree in real estate, Business Administration, Facilities Management, or related field (master's preferred).
- Minimum 8–10 years of progressive experience in property management, with at least 3 years in a leadership role.
- Strong knowledge of real estate leasing, tenant relations, and facilities operations.
- Excellent negotiation, communication, and conflict resolution skills.
- Proven ability to lead teams and manage multiple properties/projects simultaneously.
- Financial acumen with experience in budgeting and revenue optimization.
- Customer-centric mindset with a focus on delivering high-quality services.
- Proficiency in Arabic and English (written & spoken).

Overview Of The Role:
- The Retail Lease Administrator is responsible for supporting the leasing administration team by ensuring accurate documentation, effective data management, and adherence to all leasing processes. Success in this role involves maintaining and updating leasing records, processing tenant documentation, and ensuring compliance with relevant policies and legal requirements. This position plays a crucial role in facilitating communication and coordination within the leasing team and supporting departments, thereby contributing to efficient leasing operations.
What You Will Do:
General
- Support AFGRE Leasing Administration by ensuring accurate documentation, data management, and compliance with leasing processes.
- Execute leasing admin activities aligned with AFGRE objectives.
- Prepare and process tenant documentation.
- Update leasing data in YardiSAP.
- Handle lease registration.
- Translate and manage lease agreements in both English and Arabic.
- Maintain a legal contracts database and trackers.
- Ensure that all required documents are completed and filed according to property and unit number.
- Prepare LAF for management signature and handle lease agreement contracts.
- Collect payments, issue receipts, and dispatch tenant's executed copies.
- Assist in drafting correspondence and documentation for lease renewals or amendments.
- Process and execute leases for special projects.
- Prepare progress reports, tenancy schedules, and maintain updated tenant database.
- Manage the maintenance of a Brand Profile Log and communication with prospective tenants.
- Assist in updating tracking sheets, preparing presentations, and managing office supplies.
- Ensure accurate data entry and maintenance of lease records in Yardi and Projectwise.
- Maintain effective collaboration with departments for legal compliance and procedural updates.
- Manage communication with Al Futtaim EIT for technical resolutions.
Required Skills To Be Successful:
- Proficiency in English (both written and spoken), Arabic is an advantage.
- Strong IT skills with experience in data management systems like Yardi.
- Excellent communication skills and ability to collaborate across departments.
- Understanding of legal documentation and leasing processes.
What Qualifies You For The Role:
- Degree or equivalent level of education in any discipline preferable but not mandatory, depending on previous experience.
- 2-3 years of experience as a Leasing Administration professional.
- Strong knowledge of leasing procedures and practices in the Middle East market, especially Qatar.
- Experience in using Yardi and Projectwise is advantageous.
