Job Overview:
Document Expeditor is responsible for ensuring the timely submission, review, and approval of vendor and contractor documentation in line with project schedules. This role is critical in maintaining the flow of technical and quality documentation required for procurement, fabrication, inspection, and delivery of materials and equipment.
Responsibilities
Key Tasks and Responsibilities:
Document Tracking & Coordination:
- Monitor and expedite the submission of vendor and contractor documents.
- Track document revisions and ensure timely resubmission of overdue or rejected documents.
- Maintain accurate logs and status reports of all documentation.
Vendor & Stakeholder Communication:
- Liaise with suppliers, contractors, and internal teams to ensure document deliverables meet project timelines.
- Follow up on late submissions and coordinate mitigation plans with vendors.
Compliance & Quality Assurance:
- Ensure all documents comply with project specifications, contractual requirements, and quality standards.
- Coordinate with engineering, QA/QC, and document control teams for technical reviews and approvals.
Reporting & Documentation:
- Prepare regular expediting reports highlighting document status, delays, and corrective actions.
- Support audits and inspections by providing up-to-date documentation records.
Project Support:
- Participate in pre-inspection meetings and vendor kick-off meetings to align documentation expectations.
- Support logistics and procurement teams by ensuring documentation is in place for shipping and customs clearance.
Qualifications
Essential Qualifications and Education:
- Bachelor's degree in Engineering, Supply Chain, Business Administration, or a related field.
Experience:
- Minimum 3–5 years in document expediting or vendor document control within EPC oil & gas projects.
- Experience with ADNOC, ARAMCO, QG,NOC or similar clients is a plus.
Technical Skills:
- Proficient in document control systems (e.g., Aconex, SharePoint, EDMS).
- Strong knowledge of procurement and fabrication workflows.
- Familiarity with ISO standards and project documentation requirements.
Soft Skills:
- Excellent communication and coordination skills.
- Detail-oriented with strong organizational and time management abilities.
- Ability to work under pressure and manage multiple priorities.

Performs scheduled periodic maintenance on systems and components, and adjusts systems to maintain proper voltage, refrigerant levels, current, frequency, and synchronization. Identifies, repairs, and records malfunctions by removing, repairing, and or replacing defective components. The designee shall maintain systems such as, but not limited to Cummins generator series' DGDK, DSGAB, DGBB, C15D6, C35D6 125D6D, MEPP series 1050, 1070A, PP- 3106A and utilize Cummins Inpower software for diagnostics. This designee shall be qualified to work from blueprints, drawings, and operating a variety of electrician's hand tools and testing instruments. Support various generator/HVAC systems identified in Table 4.5.1 – C2 Systems and Associated Support Equipment; Table 4.5.2 ATCALS Systems and Associated Support Equipment; Table 4.5.3 ATC Weather Systems and Associated Support equipment; Table 4.5.4 C2 Air Control Squadron O&M Support, Table 4.5.5 Regional Maintenance Center O&M and Support Equipment. Units range from 15kW to 250kW power generation and 1 - 5 ton HVAC split and roof top configurations.
Minimum Position Knowledge, Skills, and Abilities Required:
- Universal 608 HVAC certification.
- High School diploma or GED. Formal training on power generating equipment and associated equipment such as: military technical training school, vocational college, and/or a four (4) year apprentice program with experience in electrical power production maintenance and repair.
- Willingness to perform other duties outside the HVAC trade.
- Computer knowledge to navigate online training, time keeping and email.
- Four (4) years of practical experience with equipment the technician will maintain. Six (6) months of Cummins Commercial, Advanced Medium Mobile Power Source (AMMPS) and InPower Software experience required.
- Must be able to obtain/maintain a Secret Security Clearance. (Note: US Citizenship is required to obtain/maintain a Secret Clearance.)
- Ability to lift of up 50 lbs.
- Ability to do the following for sustained periods of time: stoop, bend, kneel, carry, reach, lift.
- Ability to work in a fast paced, constantly changing environment
- Ability to obtain and maintain a US CENTCOM Medical Exam
