ACCOUNTABILITIES

Warehouse Coordination:

Receive, move, and store incoming products after clearing or local direct purchase.

Check and inspect all products received and ensure no products are damaged or missing

Report the status of incoming shipments to the concerned WH Coordinator and inform them of any delays (with the reason for the delay).

Sort and store the products in their designated areas (racks, shelves or bins) according to the predetermined sequence with FIFO/FEFO method according to the advice of WH Coordinator.

Prepare the custom kits and labelling as per the requirements of the customer and ensure accuracy.

Assist in the monthly counting of physical inventory and reporting any discrepancies to the Asst. Distribution Manager.

Check the expiry of the stock on a regular basis.

Remove the expired items and dispose of them as per the instructions of the Asst. Distribution Manager.

Report any damaged or missing items to the Asst. Distribution Manager.

Transportation:

Prepare the products for delivery along with the Driver & Driver Assistant as per the Delivery Order.

Check that all products packaged are the correct quantity, type and quality as per the supplier documents and against the internal Quality Inspection Form.

Assist the Drivers and & Driver Assistant with the loading and offloading of the products ensure that no products are damaged in the move.

Admin:

File all supporting documents related to the products that are being received or shipped.

Accurately update all data into Netsuite and manual recording systems by scanning and uploading the documents.

Update and handle the DMS project.

Comply with all instruction from the Asst. Distribution Manager.

Maintain a clean Warehouse to guarantee a safe environment for Zahrawi employees to work in.

REQUIREMENTS

We are seeking an experienced Warehouse Supervisor to oversee and manage daily operations of the materials warehouse.   • Comply with the latest issue of the BAE SYSTEMS Part 145 Maintenance Organisation Exposition (MOE) and general awareness of the defence logistics framework and associated procedures in relation to the movement of all logistics items.
  • Receive all items, checking that all required documentation is present and correct and that the packaging is intact. Check that part numbers on documentation matches that marked on the part or parts packaging.
  • Quarantine any non-conforming items for appropriate investigation action.
  • Record receipts using the electronic stock accounting systems and procedures currently in operation.
  • Place stores and parts demands as required on IMS.
  • Maintain the preservation of materials and equipment whilst in storage or transit.
  • Ensure the storage, handling and movement of hazardous materials is carried out as defined within hazard data sheets and mandated procedures.
  • Pick, pack and deliver parts requests to the customer, checking the right parts are delivered to the right place at the right time safely, including line side replenishment.
  • Coordination of any Tasking requests that require forklift/vehicle support, providing that support and liaising with the requestor to ensure any access or support issues are addressed prior to the activity.
  • Coordination of Forward Delivery activities, ensuring the QEAF members of staff know where to deliver to and where to collect from.
  • Protect any materials for dispatch against transit damage.
  • Identify and report inabilities of supply items to all relevant teams.
  • Be able to coordinate and assist in the preparation of detachment pack ups.
  • Assist in programmed/adhoc Stock Taking activities.
  • Performing and understanding investigation activities on IMS to assist in and resolve any stock discrepancies.
  • Deliver a Direct Line Feed (DLF) service to Depth and Forward, supplying and replenishing all consumable requirements, including POL.
  • Ensure the DLF Forward and Depth visit schedule is adhered to, preventing any consumable racks or POL in-use lockers from reaching nil stock.
  • Maintain the physical storage, issue and receipt into and out of stock of all POL items.
  • Conduct Warehouse husbandry and building oversite checks.
  • Carry out shift work as required in rotation.
  • Mentoring QEAF Team members of the Team in effective and safe Supply Chain Operations, including monitoring of IMS inputs by the QEAF.
Key Accountabilities
  • Performance indicators – Assisting in the effective provision of Physical Logistics activities to meet delivery targets and reporting any impact on Continuing Airworthiness. Understand how individual actions contribute to overall delivery performance.
  • Completion of activities – Perform physical logistics activities ensuring the appropriately documented and airworthiness records are maintained on relevant systems (IT / paper based). Identify any issues and escalate as appropriate.
  • Procedure/standards – Comply with the Part 145 Exposition and its associated procedures and standards and any other Company procedures and standards, as applicable. Identify and propose changes, as required.
  • Safety Management System – Ensure Human Factors and Error Management philosophies are applied to all Physical Logistics activities. Understand the risks associated with Physical Logistics and the means by which they are mitigated and managed.
  • Management System Assurance – Perform Physical Logistics activities in a manner that are compliant with the AM&S Governance and Assurance framework, including supporting Process Confirmations and independent assurance audits. Support the response to audit findings in a timely and appropriate manner and provide information to support the relevant reviews. Support the implementation of identified improvements to overcome any non-compliance and monitor effectiveness.
  • Statutory/ Regulatory & Legislative requirements – Able to demonstrate an appropriate level of understanding and application of the relevant Continuing Airworthiness Regulatory framework. Support the implementation of any Regulatory-driven changes into the Physical Logistics activities. Be compliant with all other requirements, e.g. ITAR, EaPW, ISO, etc.
  • Contractual Requirements – Ensure compliance with applicable contractual requirements, e.g. through support to contract reviews and the incorporation of required changes into Physical Logistics processes.
  • Security Clearance – Must hold current SC Security Clearance status.
Requirements
  • Qualifications/Functional Knowledge: Understand the workings of a Physical Logistics operation and the importance of documentation in a safety critical environment.
  • Can demonstrate experience of using electronic asset tracking / warehouse storage systems. Knowledge of BAES/ customer and supplier logistics processes.
  • Relationship building skills in order to build working rapport with the line and suppliers and problem solving skills to ensure quick resolution of items shortages to the line.
  • Requires good IT literacy skills.
  • This person would be seen, as a competent individual in operational supply chain activities, be able to support the processes, propose improvements and add value to the day-to-day running of the operation. Prefer a working knowledge of Export Control requirements including ITAR/EAR regulations and the movement of Classified equipment.
  • Forklift Driving Licence desirable.
  • Valid Driving Licence (UK).
  • Institute of Supply Chain Management Level 3, NVQ3 Award or its equivalent is desirable but not essential.
